Even the most seasoned logistics managers hit a snag now and then. Here are the top four mistakes that drain budgets and how you can steer clear of them.
1. Incorrect Documentation (The Paperwork Trap)
A missing Bill of Lading (BOL) or an incorrect Harmonized System (HS) code can leave a truck sitting idle at a border or warehouse for days.
- The Mistake: Rushing the paperwork or failing to double-check addresses.
- The Fix: Use automated shipping software that pre-fills data and validates addresses before the labels are printed.
2. Improper Packaging & Palletizing
If a shipment isn’t secured, physics will eventually take its toll. Damaged goods lead to insurance claims and unhappy customers.
- The Mistake: Using oversized boxes with no dunnage (padding) or failing to wrap pallets tightly enough.
- The Fix: Follow the 3-inch rule: ensure there are 3 inches of cushioning on all sides of the product. Use high-quality stretch wrap to secure the load to the pallet, not just around the boxes.
3. Miscalculating Freight Class or Weight
In road freight, space is money. If you tell a carrier a load weighs 5,000 lbs but it actually weighs 7,000 lbs, you’ll get hit with “re-weigh” fees that are significantly higher than the original quote.
- The Mistake: Guessing dimensions or using “old” weight data.
- The Fix: Invest in a certified floor scale and measure the actual dimensions (including the pallet height) before requesting a quote.
4. Poor Communication with the Carrier
Drivers often have tight windows for pickup and delivery. If they arrive and the dock is full or the warehouse is closed, you’ll be charged a “Detention Fee.”
The Fix: Create a “Shipping Checklist” for every load that includes gate codes, contact names, and specific equipment needs.
The Mistake: Failing to notify the carrier of specific delivery requirements (like needing a liftgate or an inside delivery).
